Purpose

Suppose that an Outlook user has access to their personal mailbox and to the additional (shared) mailboxes (usually "Info" <info@company.com>, "Sales" <sales@company.com> etc.) on an Office 365 tenant. When a user deletes an email in the shared mailbox, the deleted email is saved in the "Deleted Items" folder of the user's mailbox, not the shared mailbox's "Deleted Items" folder.

Microsoft provides a solution only for "classic" desktop Outlook.

This flow ensures that the message deleted from the secondary mailbox will be placed in the "Deleted Items" folder of the secondary mailbox.

Installation

  1. Run Office 365 Power Automate and import the CoolDel.zip file to your flows list as described here.

  2. The flow uses 2 connections: "Office 365 Outlook" and "Office 365 Users". Use your existing connections or create new ones.

  3. Select the Deleted items folder of your personal mailbox in the "Folder" field of the trigger. Populate the "*Inputs" field in the "Compose AllowedMailboxes" action with a JSON array containing the default addresses of additional mailboxes you want to work with. If you wish to work with any additional mailbox, place an empty array [] there.

  4. Turn on the flow.

Testing

If you have the primary (personal) mailbox "jdoe@contoso.com" and the additional mailbox "sales@contoso.com":

  1. Run Outlook and navigate to "sales@contoso.com" > "Inbox" [1].

  2. Delete any email in the "Inbox" folder. Note the deleted email is saved to your personal mailbox "Deleted items" folder.

  3. Wait 5-10 seconds and navigate to "sales@contoso.com" > "Deleted items". Make sure now the message is moved here [2].
